Scheduling

Book mobile or in-shop appointments with smart slot suggestions.

What it is

Schedule appointments for jobs. The flow adapts to your business model (Mobile, Shop, or Both) and supports smart suggestions or manual booking.

Create an appointment

  1. Customer & Document — pick the customer, vehicle, and attach an estimate or work order if one exists. Add VIN here if missing (it saves back to the garage).
  2. When — choose Smart Scheduling (3 ranked suggested slots based on existing routes + travel) or switch to Manual. On mobile, time entry uses an iOS-style wheel picker.
  3. Details — approximate duration and notes. (The "Send confirmation to customer" checkbox is hidden for estimates and visible for appointments.)

Smart suggestions

  • Suggested slots show travel distance from the previous stop, with a small arrow between two jobs to indicate the leg.
  • Each slot includes a View on map link.
  • Already-scheduled jobs in the day peek timeline don't repeat the customer name.
  • Empty days display "Open" instead of a dash.

Editing

Opening an existing appointment shows the same flow, including the ability to change the existing date/time.

In-shop vs mobile

  • If your service mode is Shop only, location selection is skipped — the address defaults to your shop.
  • If Both, you choose per appointment.

Job lifecycle

  • OMW (On My Way) notifies the customer and logs the trip start.
  • Start Job logs job start.
  • Complete Job opens a form to record payment, attach an estimate if it wasn't linked, and pick the paid date (with a "When was this paid?" toggle if it wasn't today).
  • Couldn't Repair closes the job without creating an invoice.

Where to find it

Desktop: sidebar → Schedule. Mobile: bottom tab → Schedule.
